Financial KPI Tracker for Growing Businesses

A comprehensive template to monitor essential financial KPIs, including revenue, gross margin, cash conversion, and customer profitability. Designed to help business owners measure performance, make data-driven decisions, and optimize financial growth.

Why track KPIs at all?

Your financial statements tell you what happened. Key performance indicators (KPIs) tell you why, and they do it early enough for you to respond. A simple, consistent KPI tracker turns a stack of reports into a handful of numbers you can review in minutes.

What the tracker covers

Revenue and growth

  • Monthly and year-to-date revenue
  • Growth versus prior month and prior year
  • Revenue versus budget

Profitability

  • Gross margin, overall and by service line or job type
  • Operating expenses as a percentage of revenue
  • Net profit margin

Cash and working capital

  • Cash conversion cycle
  • Days sales outstanding (how fast customers pay you)
  • Days payable outstanding (how fast you pay vendors)
  • Current cash runway

Customer profitability

  • Revenue and margin by customer
  • Concentration: how much of your revenue comes from your top customers

How to use it

  1. Pick a fixed day each month to update the tracker, ideally right after your books close.
  2. Compare against targets, not just last month. A KPI without a target is just a number.
  3. Flag anything that moves more than you expected and ask why before the next month closes.
  4. Review it with your leadership team, so everyone is looking at the same scoreboard.

For construction and project-based businesses

If you run jobs, add two measures: margin by job (estimated versus actual) and over/under billings from your WIP schedule. These are often the earliest warning signs that a profitable-looking job is drifting.
