Small Business Budget & Expense Planning Template

A ready-to-use spreadsheet that helps track monthly expenses, compare planned vs. actual spending, and identify cost-saving opportunities. Perfect for small business owners who want better visibility and control over cash flow.

A budget informs spending, it doesn’t restrict it

Many owners avoid budgets because they feel like a straitjacket. A good budget does the opposite: it gives you permission to spend with confidence, because you know what the business can afford and when.

What’s inside the template

Planned vs. actual by month. Enter your budget once, then record actuals each month. The template calculates the variance in dollars and percent so you can see at a glance where you’re over or under.

Expense categories that make sense. Expenses are grouped into practical categories such as payroll, rent and facilities, vehicles and equipment, software, insurance, marketing, and professional services, so the numbers are easy to scan.

Fixed vs. variable costs. Separating the two shows which costs move with revenue and which you carry no matter what, which is critical when planning for slow months.

Year-to-date summary. A running total shows whether small monthly overruns are adding up to a big annual problem.

How to find savings

Once you’ve tracked a few months, look for:

  • Recurring subscriptions nobody uses anymore
  • Categories that consistently run over budget, which usually means either the budget or the process needs to change
  • Vendor costs that crept up without renegotiation
  • Timing issues, where large expenses cluster in the same month and squeeze cash

Take it further

A budget becomes far more powerful when it connects to a cash flow forecast. That’s how you answer questions like, “Should we buy that new service vehicle this month, in three months, or next year?”
